Jobs: Forms - Web

The Job Forms tab allows assigning forms to workers on a job with custom repeat schedules, such as assigning a "Safety Walk" form to all technicians, due every Tuesday. The tab also provides an overview of all form assignments, including their due dates and completion status.


Creating A New Form Assignment

To create a new position on a job, navigate to "Jobs" tab from the top navigation bar, click on a Job Card, open the "Forms" tab, and click "+ New Form Assignment". See video below for illustration.

There are a few options when creating a form assignment:


Form (required):

This dropdown list contains all pre-loaded Form Templates available for selection.

Use the search function to find the specific Form Template needed.

To add a custom Form Template, refer to the instructions available here.

Assignee (required):

Search for the name(s) of workers to assign the form. Only workers assigned to the Job will be available for selection.

If no worker is assigned to the form, any worker on the Job can complete the form to mark it as complete.

Time Due (required):

Set the date, time, and timezone that the form assignment will be due. All workers assigned the form will be able to view when they are due here.


Repeat Schedule (optional):

To assign the form multiple times, use the "+ Repeat" button. This option allows selecting the repetition frequency, such as daily, weekly, weekdays, or every other week, and setting the assignment's end date.


How to View Form Submissions

Viewing Form Submission Status at a Glance:

The Jobs Positions tab (Jobs > Job Card > Positions) displays the submission status of all form assignments. For each worker, it shows the number of completed forms, submitted forms, and forms that are past due.


Filtering Form Assignments:

The filter options, highlighted in the red box, allow filtering form assignments by submission status or other relevant criteria.

List of Filter Criteria

  • Past Due
    • Form assignments that are past their due date
  • Completed
    • Form assignments that have been completed
  • Non-repeating
    • Form assignments that do not have a repeat schedule
  • Upcoming
    • Form assignments with a due date in the future
  • Today
    • Form assignments with a due date today
  • Yesterday
    • Form assignments with a due date yesterday
  • Form
    • The type of form in the form assignment
  • Worker
    • The worker assigned the form
  • Start
    • All form assignments after this date
  • End
    • All form assignments before this date

Form Submission Inbox:

The Forms Inbox displays submitted forms and their included information. Forms can be located by scrolling through the list or searching by name, company, date, or Job.


Each form submission includes additional details such as the exact date and time of submission and the GPS location where it was submitted. Clicking on a form reveals this information.


Editing Existing Form Submissions

In the Job Forms tab (Jobs > Job Card > Forms, see video here for illustration), locate the assignment to edit and click the edit icon. Assignment settings, including the Form Template, assignees, due date, timezone, and repeat schedule, can be modified here.


Deleting Existing Form Submissions

In the Job Forms tab (Jobs > Job Card > Forms, see video here for illustration), locate the assignment to delete and click the trash can icon. Confirm the deletion to permanently remove the form assignment.
