Time: Locking a Time Card

Locking a time card prevents any further edits by Workers or Managers, preserving the time card in its current state. If adjustments are necessary, a Manager can unlock the time card. This action will be recorded in the audit timeline located at the bottom of the time card for transparency.

To navigate to the "Time Card" page, click the "Time" tab from the primary navigation bar at the top of the page. This will open a list of all users in your company and their time entries for a given pay period. To open a different pay period use the forward or back arrow at the top right of the screen, or click the down arrow to open a dropdown menu with all pay periods.

How to Lock Time Cards


There are two methods to lock time cards:


Locking Time Cards from the Time Card Page

After navigating to the "Time Card" page (instructions here), locate the users with time cards which need to be locked. After identifying all users, use the box icon to the left of their profile picture to select them (multiple users can be selected at once).


Then, click the "Bulk Actions" dropdown button. From the options that subsequently open, click "Lock Time Cards". A popup box reading, "This action will lock all selected time cards in their current state, disallowing updates" will appear. Click "OK" to confirm the time card lock.


A lock icon will appear to the right of the User's name to indicate their Time Card has been locked.

Locking Time Cards from the Individual Time Card Page

After navigating to the "Time Card" page (instructions here), locate the users with time cards which need to be locked. Click on their profile picture to open their most recent time card.


Once in the individual user's "Time Card" page, click the open lock icon at the top right of their time card. A popup box reading, "This action will lock the time card in its current state, disallowing updates" will appear. Click "OK" to confirm the time card lock.


The open lock icon will become a closed lock icon to indicate that the time card has been locked.

How to Unlock Time Cards


Unlocking a time card can only be carried out by authorized users (i.e. Managers or Admins).


There are two methods to unlock time cards:


Unlocking Time Cards from the Time Page

Users with a locked time card will have a closed lock icon to the right of their name. After identifying all users, use the box icon to the left of their profile picture to select them (multiple users can be selected at once).


Then, click the "Bulk Actions" dropdown button. From the options that subsequently open, click "Unlock Time Cards". A popup box reading, "This action will unlock all selected time cards in their current state, allowing updates" will appear. Click "OK" to confirm the time card unlock.
