Navigate to the Project Compliance Tab
To navigate to the Project Compliance Tab tab, start by opening the Project Card and then clicking "Checklist" from the navigation bar at the top of the screen. See video below for a demonstration:
The Compliance Checklist includes a series of unique Compliance Checks specific to a given Project. In other words, these are all of the outstanding tasks and required documentation needed to ensure the Project is PWA compliant.
The Compliance Checklist provides a high-level overview of a Project’s compliance status. Clicking into a Compliance Check category reveals the individual Compliance Checks within it. Each check displays its current status along with clear instructions for how to complete it.
Compliance Check Statuses
A Compliance Check can have one of the following three statuses:
- Passed:
- Indicated by a green checkmark, this status means the Compliance Check has been successfully completed.
- Failed:
- Indicated by a red "X", this status means the Compliance Check has not been completed.
- Not Applicable:
- Indicated by a gray "X", this the Compliance Check is not relevant for your Project and can be ignored.
See the image below for an example of each symbol:
Categories of Compliance Checks
Onboarding Category
The Onboarding Compliance Checks includes all of the documentation and action items required for general prevailing wage compliance before the kickoff of a project. For instructions on how to complete a Compliance Check, see the Compliance Check Example Section of the Help Document below.
Ongoing Maintenance Category
The Ongoing Maintenance Compliance Checks include all of the document uploads and action items required for upholding compliance during the duration of the Project. These Compliance Checks are specific to the Project, not an individual participating Company of Contractor.
There is a sub-section of the Ongoing Maintenance Category that includes tax credit due diligence section for tax credit transfers. This section provides an additional set of document uploads and action items to ensure that tax credits are thoroughly vetted for transfers.
Contractor Category
The Contractor Compliance Checks include all of the document uploads and action items associated with each Contractor involved in the Project. For each Contractor, there is sub-section covering Onboarding, Additional Setup, and Ongoing Maintenance Compliance Checks.
Company Category
The Company Compliance Checks include all of the document uploads and action items associated with your Company. Specifically, the Company Category includes all of the Compliance Checks for each Job included in the Project.
For each Job, there is sub-section covering Onboarding, Additional Setup, and Ongoing Maintenance Compliance Checks.
Filtering the Compliance Checklist
There are several filters for Compliance Checks that are available within each Compliance Checklist Category (see image below):
Compliance Checks Filter list:
- Failed Toggle:
- An on/off toggle to filter for all Compliance Checks with a "failed" status (i.e. non-compliant).
- Passed Toggle:
- An on/off toggle to filter for all Compliance Checks that have a "passed" status (i.e. compliant).
- Not Applicable Toggle:
- An on/off toggle to filter for all Compliance Checks from DSPTCH's exhaustive list that are not relevant for this Project.
- Documents Toggle:
- An on/off toggle to filter for all Compliance Checks that require a document upload.
All filters can be combined with one another (e.g. Filter for all Compliance Checks that have a "Passed" status and require a Document upload). See video below for an example:
Compliance Check Assignment Completion
Each Compliance Check includes an "Assignment Completion" section which allows Managers to assign a Compliance Check to one or multiple Users and set a Due Date to ensure completion.
To assign a Compliance Check to a User, open the relevant Compliance Check and click the pencil icon located at the top right of the "Assignment Completion" Section. This will open the "Assignment Completion" Form (pictured below):
There are two fields in the Assignment Completion Form:
- Assignees (Required):
- Enter the names of the User(s) that will be assigned to the Compliance Check. The search bar references the existing list of Users within your Company.
- Due Date (Optional):
- Enter the date (in MM/DD/YYYY format) that the Compliance Check is due.
Please see the video below for a demonstration of the process:
At the bottom of each Compliance Check is the "Activity" Section. This provides a log of any changes made to the Compliance Check Assignment. See the video below for a demonstration:
Compliance Check Example
Each Compliance Check includes a short description of the compliance requirement and instructions for how to complete the Compliance Check (highlighted in red box below).
For Compliance Checks that require a document upload (as the example below does), there will be a Document Upload bar directly within the Compliance Check that can be used to complete the Compliance Check (highlighted in yellow below).
If applicable, the Compliance Check will include a link to the relevant Citation (highlighted in green box below) from federal guidance that explains why this Compliance Check is required.
All Compliance Checks have an Activity Log (highlighted in orange box below). This will include a full log of status changes, document uploads, etc. with a time stamp.
If the description or instructions on how to complete a specific Compliance Check are unclear, please reach out to help@dsptch.work for assistance.
