Projects Background

Background & Motivation

Projects enable multiple separate, yet related Jobs to be housed in one place. If needed, this can span multiple sub-contractors.

For instance, if there are multiple jobs taking place at the same job aite, creating a project provides a way to track all of the jobs in one place.

How to Navigate to Projects

Projects are housed under the "Jobs" tab in the primary navigation bar at the top of the page in DSPTCH web.

To view projects, first click the "Jobs" tab followed by the "Projects" tab in the sub navigation bar that opens at the top of the page.

Filtering Projects

There are several global filters at the top of the "Projects" tab (indicated by the red box in the image below):

The filters include:

  • Search
    • A textual search bar that can be used to filter for projects by name
  • Owner
    • A dropdown filter to include all projects that are owned by a company
  • Participant
    • A dropdown filter to include all projects that a company is participating on
  • PWA Toggle
    • An on/off toggle to filter for all projects with or without prevailing wage & apprenticeships tracking enabled

Pinning Projects

Projects can be pinned to the top of the page for easy access. To do this, click the thumb tack icon in the top right corner of a project card (indicated by the red box and arrow in the image below).

Once a project is pinned, it will be displayed at the top of the page. To unpin a project, click on the now filled thumb tack icon (indicated by the red box in the image below).


How to Create a New Project

To create a new project, click the "+ New Project" button near the top right corner of the page (indicated by the red box and arrow in the image below).

This will open the "Create Project" form, pictured below. There are several field included in the "Create Project" form.

  • Name (Required)
    • An identifying name that will be used to title the project on DSPTCH
  • External ID (Optional)
    • An identifying name that can help associate a DSPTCH project with an external system
  • Owner (Required)
    • The company who is the owner of the project
  • Description (Optional)
    • A textual description of the project
  • Participating Companies (Optional)
    • Any company that is participating on one of the jobs included in the project
  • Parent Project (Optional)
    • If the project is part of a larger project, select the larger project from the dropdown menu
  • Give access to... (Optional)
    • Select users from the dropdown menu to give access to the project, as well as all projects and jobs underneath it
  • Site (Optional)
    • Select the site related to the project
  • Features (Optional)
    • Select the specific features of the site related to the project
  • Start Date (Optional)
    • The expected start date of the project (can be edited at any time)
  • End Date (Optional)
    • The expected end date of the project (can be edited at any time)
  • Time Zone (Required):
    • The time zone the project is based in
  • Billing Start Day (Optional):
    • The day of the week which billing for a pay period will begin on
  • Prevailing Wage and Apprenticeship Tracking (Optional)
    • To enable prevailing wage and apprenticeship tracking data, select "Prevailing Wage and Apprenticeship" from the dropdown menu. This provides visibility into whether positions from jobs on the project meet wage determinations, apprenticeship hours data, and additional tracking features.
    • Additional options include "Prevailing Wage only" and "Apprenticeship only" if tracking is required but tracking both prevailing wage and apprenticeship is not required.
    • Note: PWA tracking requires a license to DSPTCH's PWA plan.

How to Edit an Existing Project

Projects can be edited at any time. To edit a project, click on the relevant project card. This will open the project card. Next, click the pencil and paper icon next to the project name. This will open the "Edit Project" form.

Any of the fields in the "Edit Project" form (described in detail under the "How to Create a New Project" section above) can be edited.

Project Overview Tab

To navigate to the "Overview" tab of a project, start by clicking on a project. The "Overview" tab will open by default.

Project Sub-Contractors Tab

To navigate to the "Sub-Contractors" tab of a project, start by opening the project card and then clicking "Sub-Contractors" in the sub navigation bar near the top of the page.

Project Hierarchy

The "Sub-Contractors" tab displays the project hierarchy, which is hierarchical view of all projects and jobs underneath the current project. The project hierarchy enables penalties and backpay to be tracked to the job or grouping of jobs causing the issue. To expand the project hierarchy, click on the arrow to the left of the project name in the list (indicated by the red box and arrow in the image below).

In the example below, the first level of the project hierarchy encompasses the entire project under the asset owner. The second level of the hierarchy encompasses all work done under the EPC. Because all of the jobs within this example project fall under the EPC, the reported backpay and penalties for the first and second levels of the hierarchy are the same. The third levels of the hierarchy encompass the work that the subcontractors of the EPC perform, as well as any work that further subcontractors perform. In the example below, there is a total of $100,000 in apprentice labor hour penalties, $200,000 in apprentice ratio backpay owed, and $300,000 in backpay owed for the project. From the hierarchy, it can be seen that the grouping of jobs under both EPC subcontractors are causing $50,000 in apprentice labor hour penalties, $100,000 in apprentice ratio backpay, and $150,000 in backpay. Going further into the hierarchy, it can be seen that the subcontractor working underneath the EPC's first subcontractor is responsible for $50,000 in apprentice ratio backpay and $75,000 in backpay.


Project Documents Tab

To navigate to the "Documents" tab of a project, start by opening the project card and then clicking "Documents" in the sub navigation bar near the top of the page.

The "Documents" tab displays all documents that have been uploaded to the project in DSPTCH. To upload a new document click the "+ New Document" button (indicated by the red box and arrow in the image below).

This will open the "New Document" form, pictured below. There are several options when creating a new document.

  • Filename (Required)
    • The name of the file. This will automatically fill with the name of the file that is uploaded.
  • Choose File (Required)
    • Click the "CHOOSE FILE" button and select it from your directory or drag and drop the file into the field.
  • Description (Optional)
    • A textual description of the file.

Once all fields are filled out, click the "Save" button. When a document is uploaded, it will be displayed in the documents list. A document can be viewed by clicking on the magnifying glass icon (indicated by the red box in the image below), downloaded by clicking on the arrow and hard-drive icon (indicated by the green box in the image below), edited by clicking on the pencil and paper icon (indicated by the blue box in the image below), and deleted by clicking on the trash can icon in the image below (indicated by the purple box in the image below).


Project Apprenticeships Tab

Overview

For projects with enabled prevailing wage and apprenticeship tracking, there is additional functionality beyond the "Overview" tab. Learn how to enable prevailing wage and apprenticeship tracking under the How to Create a New Project section of this help document.

Categorizing multiple jobs under the same project creates an apprenticeship dashboard which provides a single source of apprenticeship compliance visibility for every job and company involved in the project.

To navigate to the "Apprenticeships" tab of a project, start by opening the project card and then clicking "Apprenticeships" in the sub navigation bar near the top of the page.

The dashboard provides visibility into the ratio of the Apprentice-to-Non-Apprentice Hours for each Company involved in the Project (pictured below):

In the image above, a green value under the "Percentage" column indicates a compliant ratio of apprentice-to-non-apprentice hours (I.e greater than or equal to 15% of total hours) and a red value indicates a non-compliant ratio.


There is also a graphical dashboard that provides a day-by-day breakdown of the apprentice-to-non-apprentice hours for each company involved in the project, pictured below. In the graph, a value over the red line indicates a compliant ratio of apprentice-to-non-apprentice hours (i.e. greater than or equal to 15% of total hours) and a value below the red line indicates a non-compliant ratio.

A graph tracking the journeyworkers-to-apprentice ratio (pictured below) can be seen by clicking "Journeyworkers per Apprentice" at the top of the graph. The red line represents the minimum ratio required.
