Time: Clocking In - Mobile

Timekeeping is a core feature within DSPTCH. Using DSPTCH's knowledge of sites and assets, Clocking in makes tracking time easy and accurate.

To Clock In, click the Time button at the bottom left of the navigation bar to get to the Time screen (outlined in red circle).

On the Time screen, click the "Clock In" button in the center of the page to start recording time.


Things to Look Out for

For Clocking In to work, there are a few settings to set up.

To be able to clock time, set location tracking to "Always" on your mobile device.

If location permissions are not set to Always, you will get an error when trying to clock in.

DSPTCH needs this permission so to track time without having to keep the DSPTCH app open the entire work day. This allows you to close DSPTCH and use the other apps. With the "Always" Permission, DSPTCH can also send reminders to clock in upon arrival on site.

To fix the "Location permission is required" error, click on it. DSPTCH will open the location settings menu. Set the permission to "Always"

If part of multiple companies, select which company Time Entries should be shared with.

If "Unset" appears under the Company Name, this means that no company is selected, preventing time submission.

To resolve this, click "Unset" and choose the appropriate company. If no company is available, check check for an invite.

Clocking in

With setup complete, start recording time by pressing the big red Clock In button!

After doing so, the clock-in screen will open:


Once Clocked In, select the Job being worked on (or choose Other Billable Hours for "No Job"), the relevant Time Code, and enter an optional description. These entries will be applied to time entries submitted when Changing Tasks, Clocking Out, or taking a Lunch or Break

Submitting a Time Entry

Once Clocked In, there are 4 actions:

  • Break
  • Lunch
  • Change Task
  • Clock Out

Clicking any of these buttons will open the Add Time Entry screen:

If you assigned to a job, the Job and State fields will be autofilled

The Edit Time Entry screen is used to provide details about the completed task.


Selecting a Job

The most recent job worked on will be auto-selected. To record time for a different Job, tap the Job dropdown and select a new Job:

The currently selected job will have a ✔️ next to it

To record time outside of a job click on the job that currently has a ✔️ next to it. This will unselect the job.

The Job dropdown will then display "Other Billable Hours"

Selecting a State

The State dropdown will be autofilled with the location of the site on your current Job.

For example, on the examples above, the Job "RCB Wind #4920" has its site in Texas.

To change the State, tap the dropdown to search & select the appropriate state.

DPSTCH supports all USA States, USA Territories, Canadian Provinces, & Canadian Territories.

Accurate State information is important for overtime calculations.

Selecting an Asset

For some jobs, it is important to record time to the exact physical location where work was completed. The "Select Assets" search bar contains the list of features such as wind turbines, pipeline anomalies, or inverters that are contained within the selected job's site(s). Tie a Time Entry to a single asset or multiple assets. Click on an asset to select it. Clicking on a selected asset removes the asset.

Selecting a Time Code

In the Time Entry, a Time Code is a selectable dropdown. Select the Time Code mostly closely describing the nature of the task performed . The list of available Time Codes is based on the selected company. Please contact your company's manager for further clarification if needed.

If the "No Timecodes Available" error appears, check if your company is "Unset", as described above


Description

Finally, at the bottom of the Add Time Entry screen, optionally enter a text description to provide more detail about the work performed during that time entry.

Depending on the selected Time Code, a description may or may not be required to submit the time entry.


Save

Once all the necessary information is filled in, click Save!

The Time Entry will now be saved to the appropriate Time Card, based upon the Time Entry's Start Date and the selected Company.


Time Screen Options

Now that we have covered how to submit a time entry, it's important to know the differences between the Break, Lunch, Change Tasks, and Clock Out.

Each of these options will pull up the Add Time Entry screen.

The Break and Lunch Time Codes are special Time Entries configured by your company.

Break

Before starting a rest break, complete the Add Time Entry details for the task just completed. But by selecting Break, DSPTCH will automatically create a "Break" task for the duration configured by your company (typically 15 minutes). At the conclusion of the Break, DSPTCH will automatically fill out the Time Entry details for the Break Time Entry and start a new task time entry.


Lunch

Before starting a meal break, complete the Add Time Entry details for the task just completed. But by selecting Lunch, DSPTCH will automatically create a "Lunch" task for the duration configured by your company (typically 30 minutes). At the conclusion of Lunch, DSPTCH will automatically fill out the Time Entry details for the Lunch Time Entry and start a new task time entry.


Change Tasks

This allows submitting a Time Entry while staying clocked in, which is useful when changing the asset or Time Code being worked on.


Clock Out

This will end an entire "Session", and require the completion of final Time Entry details.


Attempting to clock out during a break or lunch will trigger a warning message. If Break or Lunch was selected by mistake, locate the Time Entry labeled "BREAK" or "LUNCH" and delete it.



Abandoning Clocked Time

To exit the clocked-in state without saving any time, press and hold the Clock Out button for approximately one second.


Note that this will only stop the current section of clocked time - any breaks, lunches, or other entries you have made will still be saved.
