Getting Started with Your DSPTCH Demo Account

This guide will walk you through accessing your DSPTCH demo account and creating sample data to showcase how DSPTCH calculates prevailing wage obligations in real time.

Table of Contents:

Step 1: Creating Your DSPTCH Account

The first step is to create your Account on DSPTCH Web.

For instructions on how to create your Account on DSPTCH, please read our documentation here.

Step 2: Accepting Your DSPTCH Invite

You should have received an email from DSPTCH Notifications (notifications@notifications.dsptch.work) with the subject line "You have been invited to join DSPTCH".

Once you accept your Invite, your Account will gain Admin permissions to your Company on DSPTCH.

For instructions on how to accept your Invite, please read our documentation here.

Step 3: Creating a Sample Project

A “Project” will house all the individual Jobs that are completed at a given Job Site.

Let’s create a Project to house all Jobs that are conducted at a site of your choice (DSPTCH has a database of all wind/solar/BESS sites in North America, so just search for the site by name).

Make sure to enable Prevailing Wage and Apprenticeship Tracking in the Create a New Project Form.

Read our documentation here for instructions on creating a Project here.

Step 4: Creating a Sample Job in the Sample Project

A Job can be thought of as an individual work order at a given Job Site. In this case, let’s create a sample Job that will take place at the same Job Site that was selected for the Sample Project.

Read our documentation here for instructions on creating a Job. Make sure to select the Sample Project in the "Project" field of the Create a New Job Form.

Step 5: Creating a Sample Wage Determination

A Wage Determination dictates the proper prevailing wage rate that is owed to each Workers on your Job. The proper Federal Wage Determination(s) for your individual Job can be found via www.sam.gov.

Read our documentation here for instructions on creating a Wage Determination.

The help document below contains some basic information on how to read www.sam.gov. That said, for the purposes of creating demo data, it’s not important that the Wage Determination is accurate – just make sure that you set a Wage Rate and Fringe Rate when creating the Wage Determination.

Step 6: Creating a Sample Position and Tie in the Sample Wage Determination

Positions are how you assign individual workers to a Job, define their scope of work, and assign a Wage Determination.

Before creating the Position, a few notes:

  • For the purposes of creating demo data, it is recommend to assign yourself to the Position (i.e. search your name in the “Assign Workers” box in the Create a New Position Form).
    • In the event that you’d like to create demo Users and assign them to the Position, read our documentation on how to create new Users here.
  • For the "Federal Wage Determination" field, you'll notice that the Wage Determination created in Step 3 will appear – click on it. After assigning the Wage Determination, leave the "PWA Wage Pay Rate (USD)" field blank in the Create a New Position Form.
    • Once the Wage Determination is added and the Position is saved, the PWA-eligible hourly rate will automatically populate based on the Wage Determination that you set up.

Now you're ready to read our documentation on creating a Position here.

Step 7: Create a Sample Company Pay Schedule

As a pre-requisite to creating a Manual Time Entry, a Pay Schedule must be set up for your Company.

A Pay Schedule defines how often employees are paid (e.g. weekly, biweekly). DSPTCH Pay Schedules should align with the Pay Schedules used in your Payroll System. Once a Pay Schedule is created, DSPTCH will automatically generate Time Cards for each User enrolled in DSPTCH T&A, based on the schedule's time window. Time Cards are where Users log their Time Entries.

Read our documentation here for instructions on creating your Company Pay Schedule.

Step 8: Create a Sample Manual Time Entry on the Sample Job

Once the Position is set up with a Worker & Wage Determination assigned, you are ready to create some demo Time Entries tied to the Demo Job (this will simulate a Worker logging time on DSPTCH).

Assuming Steps 1-7 are properly set up, DSPTCH will calculate the amount of wages and fringe benefits owed to be compliant with prevailing wage requirements.

Read our documentation here for instructions on how to create a Time Entry and tie it to the Job.

Step 9: View How DSPTCH Automatically Calculates Prevailing Wage Obligations in Real-Time

DSPTCH tracks all Time Entries via the “Time” Tab. Open the Time tab, and then click on the profile of the Worker you created the Time Entry for.

This will open the User's Time Card. Scroll down to the “Pay” section on the right-hand side to view the wage and fringe benefits calculations based on the hours from the Time Entry and the prevailing wage rate set in the Sample Wage Determination.

See the video below for an example:

For a deeper breakdown, take a look at the screenshot below:

DSPTCH automatically flags that the User is being underpaid $120 in wages and $96 in fringe benefits (highlighted in the red box). Additionally, DSPTCH issues a warning that the Time Entry has a custom hourly wage rate of $20 which is below the expected prevailing wage hourly rate of $35 set by the Wage Determination on the Job (highlighted in the yellow box).

These real-time warnings allow Managers to correct errors before payroll runs.
